Event Planning RFP's

Yeah, writing an RFP (Request for Proposal) will be a pain in the butt, no doubt. It will make you put into writing all you could are expecting from or even vendor. Yet, for working lady like me who will have unspoken expectations, it is a great tool. Here are 3 things RFP's because of make your job a lot less difficult in Event Planning and direction.

  1. RFP's clarify all of the products you will receive at vendor- No unspoken standard.

  2. RFP's Can serve as a general contract between you and the vendor. Most contracts drafted and vendor favor the vendor since they're written by the merchant's attorney, or someone in their office searching for their best interest. Use the RFP as a tool for the language you need in to the contract.

  3. RFP's get you the best deal for your some cash. For a recent event, I produced an RFP approximately equipment rental. Initially I was going to exclude the vendor I use most, because I know selling price ranges had gone up and that i was not happy about this. I was sure they would be the most expensive. At the last incredibly small I sent them an RFP to answer. Wow, was I surprised by their response. Not only have to did they win of your bid, but they were 25% less than the closest bid.

Are you planning on using an RFP for each time contract? No, it doesn't add up. If you need a specialized emulsion and only one local vendor assists it, you're best off of negotiating your price tweaking expectations. However, on those occasions where they are available vendors are able to provide the same sales, it's in your best interest to get proposals.

Prepare with a protracted process in deciding on vendors from RFP concepts though. You have to take your time to compare your request of an proposal, ensuring everything you requested is included. You will undoubtedly need clarification of the responses and that takes time too. Vendors may use slightly different terms due to their products than you do, or they may have a variety of styles or sizes in their mind product in your ask for.

The time invested tough process is well weary though. You'll see it on the bottom line and managing the selected vendor substantially easier.
